Enrollment

We are thrilled that you are interested in learning more about attending our school, and
we are currently accepting Applications for the 2024-2025 School year!

All Applications will be accepted, but that does not guarantee Enrollment for Registration. These terms are often confused, so please see the following definitions for clarification:

  • Application: Parents complete a form with limited information to apply to request open enrollment for NEW students, and all Charter Schools are required to accept ALL applications. This does not mean applicants are “Enrolled” or “Registered”.
  • Enrollment: Charter Schools determine how many seats they have available and only offer those openings (for actual enrollment into classes) to applicants. During “Enrollment,” we ask for detailed student information, schedule tours, team meetings, and allow parents to see our unique approach to learning. If offered a seat for “Enrollment”, and those applicants do not accept the seat or do not complete the required “Registration” process within 48 hours; then, we open that seat to the next person on the waitlist and move that applicant to the bottom of the list to rotate back up.
  • Registration: Once the “Enrollment” process is completed, parents officially “Register” to accept their child’s placement into classes at the school. All paper documents and online information must be completed to keep the child’s seat. We are required to meet Colorado mandates and use the Cortez school district online system for this final step.

Enrollment Process and Timelines for 2024-25 school year:

There are four areas to the Enrollment Process:

  1. Re-Enrollment of current students
  2. Application Request for open enrollment for NEW students (all are accepted to begin the enrollment process)
  3. Enrollment (based on seats available, IEP team placement determinations, and offers accepted within 48 hours to begin registration).
  4. Registration (must be completed in one week to retain seat or we move to next student on wait-list)

Each year, CKMS will establish and make publicly available an Enrollment Timeline. CKMS will use a variety of means to promote its enrollment process. The Enrollment Timeline and instructions will be posted on the CKMS website by the head of school each year. CKMS will also use social media, community partnerships, parent newsletters, local newspapers, and/or other sources to promote the enrollment process. All communication and enrollment material will be available in both English and Spanish in the front office and on our website at www.kivacharter.org.

Re-Enrollment for Current Students (aka Intent to Return)

Current students should complete a form to hold their seat for the next school year every spring. Without a confirmation of enrollment for the following year the student’s spot in CKMS may be relinquished and given to a new student.

Application Request for Open Enrollment for New Students (all applications are accepted)

Prospective new students should complete the form to apply in the spring for the subsequent school year.

Enrollment (the paperwork, tours, and meetings)

The head of school will contact applicants to start the Enrollment process if/when seats become available for their child’s grade level. Families must confirm that they will accept the seat(s) within 48 hours. Then the School will collect additional information and schedule tours and any necessary meetings, etc.

Registration

Once the Enrollment information is completed, Families of enrolled students will be sent online registration information that must be submitted to the district’s online system by the deadline indicated in order to keep the seat for their child.

IMPORTANT: Enrollment, for any student, will not be finalized until the parent/legal guardian has completed and submitted all applicable registration documents. Enrollments are, in all cases, subject to limitations imposed by law and requirements of the contract in place with the School’s authorizer.

Enrollment Timeline
  1. Beginning in January of each year, parents/legal guardians of students currently attending Kiva will be invited to Re-Enroll. It will be the parent’s/legal guardian’s responsibility of each student to Re-Enroll by the deadline given.
  2. The head of school and/or registrar will determine the number of spaces available for new students in each grade level for the upcoming school year each spring and post instructions for applying on the school website. If there are more new student applicants than available spots, the head of school and/or registrar will first place students from the Priority Enrollment Categories and then place students whose applications are next on the waitlist. See details for priority placement via the Recruitment, Retention, and Enrollment Policy link below.
  3. Deadline for New Student Applications will be the third week of September unless otherwise announced each year at the beginning of the application time period.
  4. Parents will be notified of the completion of enrollment and must confirm acceptance of the seat within 48 hours or lose the seat.
  5. New student Enrollment paperwork and online registration with PowerSchool must be completed each year by the deadlines given. Failure to complete the required information will forfeit your child’s spot at CKMS, and they will be places at the end of the waitlist.
Enrollment of students ends after October Pupil Count Day

The school will not continue to enroll students after the October Pupil Count Day usually on October 1st each year. No students will be able to enrolled in the school after that time.

Enrollment process will begin again in January for the following academic year. A new waitlist or lottery list will be generated each school year with no roll-overs from prior year applications. Families not admitted during the year they apply will need to reapply the subsequent year.
